Job Description:

The College of Liberal Arts and Sciences (LAS) at Iowa State University is seeking applicants for a Grant Specialist I who will collaborate with Principal Investigators (PI’s) in the planning and preparation of grant and contract proposals for federal and non-federal sponsors. Proposal projects will range from small single investigator proposals to large and more complex interdisciplinary and multi-institutional research proposals.

The Grant Specialist will work independently as part of the LAS college pre-award research support team and directly with PI’s in multiple departments within LAS. Responsibilities of the position include, but are not limited to, proposal planning and coordination with the PI and research team; review and interpretation of funding opportunity guidelines; budget and budget justification development; initiation and routing of the Goldsheet; preparation of sponsor-specific forms; review of the application package prior to submission and assisting PI’s and the Office of Sponsored Programs Administration (OSPA) with submission-related activities.

The successful candidate must have exceptional organization and time-management skills; written and oral communication skills; the ability to adjust to shifting deadlines and priorities, as well as, the ability to work both independently and within a team environment.

Summary of Duties

Proposal Coordination - Facilitate meetings and communications with the PI and multidisciplinary research teams for larger and more complex proposals- Develop timelines for the PI and research team to meet internal and sponsor deadlines- Read and interpret the funding opportunity guidelines- Collaborate with subcontractors and obtain all required documents and forms for submission- Initiate internal Goldsheets and monitor the routing for timely review and approval by the Office of Sponsored Programs (OSPA)- Effective communication with project personnel, OSPA, the Grants Hub, Research Administrators and sponsors.Budget Development- Review sponsor guidelines for budget parameters including minimum and/or maximum budget allowances, project year limitations, and other budget requirements- Advise PI on university policies and procedures such as cost share, indirect costs and salary when applicable- Develop the budget based on project needs and in adherence of all ISU and sponsor policies- Notify appropriate parties of budget parameters that will require department or college-level involvement and/or approval- Prepare budget documents in required ISU and sponsor formats

Proposal Development

  • Review proposal guidelines and identify applicable information including, but not limited to, deadlines, document formatting requirements and an overall general understanding of the proposal- Obtain and review subcontract documents and forms, when applicable- Assist PI with preparation and review of proposal documents and in adherence with sponsor-required formats and templates

Proposal Submission

  • Assist PI with initiation of proposals, entry of budget information and uploading of documents to sponsor's electronic submission portals - Review sponsor checklist to ensure all required documents are included in the submission package- Perform final review of the application package prior to submission- Track and communicate follow-up information to the PI when necessary

Other Duties

  • Create and utilize proposal development templates and tools- Participate in university and sponsor-specific training opportunities- Provide training for PIs and department admins when necessary- Serve as a member of the university grant coordinator group- Track proposal data and provide related reports to supervisor as needed
