Job Description:

The Department of Mechanical Engineering at Iowa State University seeks qualified applicants for a Student Services Specialist II provide support and assistance to the academic advising office within the department.

The Student Services Specialist II will be responsible for working with students, administration, advisers and faculty members to ensure the needs of the students are met. This position will entail skillfully addressing student and parent inquiries regarding academic advising, and will also assist with recruitment and other student events.

The successful candidate will have effective management and organizational skills, the ability to work well with a diverse population, and the ability to communicate effectively. All staff members are expected to interact collegially and maintain the highest standards of integrity and ethical behavior.

Job Duties:

Student Services

  • Provide customer (grad, undergrad, and parents) and personal service via needs assessment, meeting quality standards.

  • Refer students to appropriate campus resources.

  • Provide a service by looking for ways to help and answer questions from colleagues and students.

  • Provide support for student development with a demonstrable concern for students.

  • Engage students to create and enhance their connection with the institution and each other.

  • Assist in the coordination of events such as commencement receptions and welcome events.

Clerical/Administrative

  • First-line assessment of the nature of student inquiries and appropriate referral to academic advisers

  • Records administration.

  • Communicate effectively in writing as appropriate for the needs of the audience (frequent audience: students, staff, faculty, deans, and parents).

  • Coordinate events, travel and awards.

  • Work collaboratively and build strategic relations with colleagues and students.

Managing Priorities/Deadline

  • Analyze and prepare documents, reports, and correspondence.

  • Work frequently under pressure and meet close deadlines.

  • Set priorities and complete assignments for manager, faculty, and students on time.

Problem Solving/Analytical/Judgement

  • Apply general rules to specific problems to produce answers that make sense.

  • Quickly make sense of, combine, and organize information into meaningful patterns.

  • Devise solutions to administrative problems.

  • Anticipate and diffuse problems before they occur.

  • Develop objectives, evaluate effectiveness, and assess needs.

Pay Grade:

The University is in the process of implementing a new classification and compensation structure. The impending change is expected to be completed by Fall 2020. Any P&S employee hired through this posting may be assigned a new title and associated pay grade upon the employment start date (and after the initial offer), commensurate with qualifications required for the position. The duties and responsibilities of the posted position, in addition to compensation offered, will not be affected by this process.
