Job Description:

Elder Corporation is currently accepting applications for a Project Coordinator position. The company uses Sage Timberline for its accounting software and Paperless Environments for its document management solutions. All prospective employees will be subject to a pre-employment drug screen, a pre-employment physical, and a background check.

Responsibilities include:
  • Ability to work with several Project Managers assigned to you and provide project support for 20 to 50 projects at a time

  • Request insurance certificates and bonds for awarded projects

  • Set up projects in Sage Timberline software

  • Process change orders by accumulating costs, tickets and invoices for the Field Work Orders that are turned in from the field. Send to customers and follow-up as needed.

  • Continually work with Project Managers on updating the Contract Schedule of Values to bill on a monthly basis

  • Issue subcontracts to vendors assigned to our projects

  • Monitor and contact subcontractors for updated certificates of insurance

  • Process submittals for projects through several project management software applications

  • Attend Pre-Con and Weekly Project Meetings as needed

  • Prepare and update Project Excel Logs to track: Submittals, Change Orders, Rock Tickets and Certifications as needed for projects

  • Work with Project Manager during Project Closeout by collecting As-Builts, Warranties, Bonds as needed

  • Provide Support to Project Managers with reconciliation of Project Quantities with DOT Projects

  • Stay abreast of DOT Requirements and ensure compliance for the project

  • Issue purchase orders as needed for PM’s and for our field foremen

  • Investigate any unbilled project costs

  • Understanding of and willingness to interact with Iowa’s One Call system to process locates on our projects

  • Will add additional responsibilities as workload allows.

    Basic Requirements:

  • Answer incoming calls in a positive manner and direct callers to appropriate personnel

  • Proficient with Microsoft Office Outlook, Excel and Word

  • High level of professionalism

  • Strong attention to detail

  • Strong proofreading and editing abilities

  • Excellent verbal and written communication skills

  • Ability to learn main Project Software Applications (i.e. Procore, IsqFt, Doc Express, Bid Express, Submittal Exchange, etc.)

  • Ability to thrive in a fast-paced office environment, working both collaboratively and independently to meet deadlines on multiple projects simultaneously

  • 1 to 2 years’ experience in a strong administrative support role or equivalent combination of education, training and experience.

  • 2+ years in Construction Background preferred

    Position reports directly to the Project Managers and to the VP of Estimating.
