We are looking for an Executive Assistant to support our executive team. You will manage mostly business-related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past. Proven organizational skills are a must.As a Executive Assistant you will:iActs as the initial point of contact for visitors, clients, and vendors at the main office. iAnswers questions from vendors and customers as needed.iAnswering phones and routing calls to the correct person or taking messages.iPerforms general reception duties such as filing, copying, scanning, and faxing of documents as needed. iMaking travel plans for the Executive Director including scheduling and planning meetings and events.iOrders office supplies; maintain inventory of office supplies and training materials.iProvide support for preparing or typing of reports, letters, memos, plans, grant writing, and other miscellaneous items as needed.iFiling and retrieving corporate records, documents, and reports.iResearching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.iHelping prepare for meetings. Attends meetings then accurately records minutes from meetings.iUsing various software, including word processing, spreadsheets, databases, and presentation software.iReading and analyzing incoming memos, submissions, and distributing them as needed.iExperience as a virtual assistant.iProvide general administrative support to the HR department as needed.Executive Assistant Requirements:iPrior executive assistant experience is required. Only candidates who meet the minimum requirements will be contacted for an interview.iOther important skills needed: Proficiency in computer use including Microsoft Office suite and databases is required. The ability to clearly communicate in oral and written fashion is required. Attention to detail and excellent customer service skills are essential.iProven experience as an executive assistant or other relevant administrative support experience.iIn-depth understanding of entire MS Office suite.iProven organizational skills are a must.iAbility to organize a daily workload by priorities.iMust be able to meet deadlines in a fast-paced quickly changing environment.iA proactive approach to problem-solving with strong decision-making skills.iProfessional level verbal and written communications skills.Additional Requirements:iPrefer a candidate with at least an Associate Degree.
