Job DetailsLevelManagementJob LocationSpirit Lake Branch - Spirit Lake, IAPosition TypeFull TimeTravel PercentageNegligibleJob CategoryAdmin - ClericalDescriptionOverview/Function: The Office Coordinator plays a key role in the success of the branch, responsible for directing and coordinating the branchs overall administrative support activities, including clerical support, reception, incoming and outgoing mail, and internal building facilities. They play a lead role for the GM, a trusted and reliable liaison to ensure operations run smoothly. Major Responsibilities:Work directly with the General Manager in providing overall administrative and office support for the facilitys day to day operations.Assist branch sales team with order transactions, daily logs, and prepare business reviews.Process credit verifications and branch accounts receivables. Oversee unscheduled customer orders (aka hotshots), including order entry and invoicing.Coordinate branch meetings and events - preparation of agendas and meeting details.Manage vendor services (i.e. cleaning, office equipment, internal building maintenance, etc.).Prepare branch deposits; oversee petty cash and employee funding program. Coordinate internal office space (i.e. door keys, maintenance, allocation, moves).Maintain accurate branch scheduling (appointment, vacation calendars, etc).Provide back-up receptionist support, including routing incoming phone calls, greeting visitors, sorting and distributing mail.Oversee office supplies and uniform ordering for branch staff.Facilitate new hire orientations.Schedule drug screens, physicals and agility screenings, as appropriate.Supervise front office administrative staff.Other duties as required. QualificationsExperience and Qualifications:Minimum of high school diploma with 3-5 years of previous executive administrative experience. Previous supervisory experience preferred.Excellent administrative support and organizational skills.Proficiency with Microsoft Office suite (Word, Excel, PowerPoint). Positive, take-charge personality with excellent time management, strong organizational and communication skills.
